1. About these terms

These terms govern the planning services provided by Whistler Weekend Co. (“we”, “us”) to clients (“you”) planning group celebration weekends in Whistler, British Columbia. By submitting a booking request, paying a planning fee, or otherwise engaging our services, you agree to these terms.

2. What we do

Whistler Weekend Co. provides research, recommendations and coordination for group celebration weekends, including itineraries, dining reservations, activities, styling, vendor sourcing and on-call support as described in your proposal. Planning is custom and tailored to your group, budget and preferred level of involvement.

3. What is not included

Accommodation and transportation are not included in our planning service and must be arranged and paid for directly by your group. Third-party costs — including but not limited to restaurant bills, activity fees, spa bookings, vendors, decor, cakes, florals and any event expenses — are additional and paid directly by you unless specifically stated otherwise in your proposal.

4. Booking & payment

Planning fees are quoted per weekend or bespoke engagement and are due as described in your proposal. A booking is confirmed only once your planning fee is received. Quotes are valid for 14 days unless stated otherwise. We reserve the right to adjust pricing for changes in group size, dates or scope requested after a proposal is accepted.

5. Cancellation & refunds

Founding clients: under the Founding Client Guarantee, if after your initial consultation and first planning direction you feel the service is not the right fit, your planning fee may be refunded before detailed planning begins. After detailed planning has commenced, the planning fee is non-refundable, as the work has been performed. If you need to postpone or cancel a weekend, notify us as soon as possible; rescheduled weekends may be subject to a new planning fee depending on scope and timing.

6. Your responsibilities

You agree to provide accurate information about your group, occasion, budget and preferences, and to communicate changes promptly. You are responsible for payments to third parties, for ensuring your group adheres to venue and vendor policies, and for valid travel documents and insurance for your trip to Whistler.

7. Third-party vendors

We research and recommend third-party vendors and venues in good faith but do not control them. We are not liable for the acts, omissions, availability or quality of third parties, or for cancellations, closures or changes made by them. Any disputes with a vendor are between you and that vendor.

8. Limitation of liability

Our services are provided on a best-efforts basis. To the maximum extent permitted by law, our liability is limited to the planning fee paid for the relevant engagement, and we are not liable for indirect, incidental or consequential losses, or for losses arising from events, weather, third-party actions or circumstances outside our control.

9. Imagery on this website

Some photographs and illustrations on this website are generated or enhanced using artificial intelligence and are shown for illustrative and marketing purposes only. They are artistic impressions intended to evoke the mood of a Whistler celebration weekend — not literal or exact representations of Whistler, its venues, weather conditions, actual people, or the specific experiences, vendors or accommodations we arrange. Real Whistler conditions, venues and experiences may differ, and imagery on this site should not be relied upon as a factual depiction of Whistler or of the services we provide. We are happy to share genuine, current information and photographs of venues and activities during your consultation.

10. Changes to these terms

We may update these terms from time to time. The version in effect at the time of your booking applies to your engagement.

11. Governing law

These terms are governed by the laws of the Province of British Columbia and the laws of Canada applicable therein. Any disputes shall be resolved in the courts of British Columbia.
